Overview

This role reports to the Manager, Organizational Quality & Safety and is responsible for the database management of RLDatix. Database management activities include managing all data from incident reporting (including critical/severe incidents, privacy re lated incidents) as well as information regarding feedback brought forward to Patient Relations. The incumbent will also coordinate the organization’s response to medical-legal liability and property issues. This response includes handling aspects of cla ims management including (but not limited to) processing insurance claims, legal record keeping, coordinating communication with insurance adjusters and representatives as well as legal counsel and hospital staff.
The administrative coordinator makes optimal use of existing business systems and provides recommendations to continuously improve the work of the department. They provide expertise on practices, systems and tools and ensure all information is tracked, reported and managed effectively.
Th is role will also provide administrative support for incident reporting by individual areas within the hospital and may provide administrative support to the portfolio as required.

Education

- Degree or Diploma in Health or Business Administration or a related program.

Qualifications

- Minimum of 5 years in a senior administrative position with evidence of progressive responsibility, experience in healthcare preferred.
- Experience with RL Solutions and/or RLDatix applications and payroll systems are an asset.
- Strong understan ding of the insurance industry, healthcare legislation, and legal process is an asset. Must have initiative; diplomacy and tact; experience dealing with highly sensitive and confidential matters is required.
- Demonstrated ability to multi-task, priori tize and reprioritize in an environment of constant change. Must be able to effectively manage multiple tasks and projects with competing deadlines and priorities concurrently.
- Solid time management skills including the ability to plan and organize w ork within set timelines.
- Proficient with relevant computer systems and software including Microsoft Office (Excel, Teams, Word, etc.).
- Excellent verbal and written communication skills to effectively present information to relevant stakeholders at various levels.
- Ability to facilitate cooperative working relationships with multiple internal and external contacts.
- Superior attention to detail and organizational skills including planning, goal setting, reporting and analysis.
- Skilled in recording and summarizing feedback into meeting minutes and action items.
- Ability to work well and interact with all levels of management and staff, patients and external sources.
